Occupational Summary:
The Student Accounts Manager oversees the daily operations of the Student Accounts Office, including staff supervision, workflow coordination, student account administration, and compliance-related processes. This position serves as the operational lead for the office, supporting staff, resolving complex account matters, and ensuring accurate, efficient, and student-centered service. The Manager collaborates with campus partners to support effective operations, regulatory compliance, and student success.

Work Performed:
Leadership & Office Management

1. Supervise, train, and support Student Accounts Staff.
2. Coordinate daily office operations and workflow distribution.
3. Serve as primary point of escalation for complex student and parent account concerns.
4. Monitor staff performance, customer service standards, and operational effectiveness.
5. Assist in developing and documenting departmental procedures and internal controls.
6. Support a collaborative and service-oriented team culture.
Student Account Operations
1. Oversee student billing, payments, refunds, account adjustments, receivables, and collection activities.
2. Review account discrepancies and coordinate resolutions with internal departments.
3. Maintain account holds, payment plans, third-party billing, and related student account functions.
4. Review reconciliation, billing, and exception reports for accuracy and completeness.
5. Support the upkeep, troubleshooting, testing, and development of new SIS (Jenzabar) and Transact functionality related to student billing, payments, refunds, and account management.
Compliance & Collaboration
1. Ensure compliance with FERPA, institutional policies, and applicable regulations.
2. Support tax reporting, audit documentation, and related compliance activities.
3. Collaborate with Financial Aid, Registrar, Finance, and other campus departments to support student account operations.
4. Perform other related duties as assigned. Required Qualifications/Education/Experience/Skills/Training:
1. Associate degree in Accounting, Business, Finance, or related field required; Bachelor’s degree preferred.
2. Minimum of 3–5 years of progressively responsible experience in student accounts, finance, accounting, or higher education business operations.
3. Prior supervisory or team lead experience preferred.
4. Experience with Jenzabar and Transact systems preferred.
5. Strong understanding of billing, receivables, reconciliations, and customer account management.
6. Excellent interpersonal and conflict-resolution skills.
7. Ability to manage sensitive situations with professionalism and sound judgment.
8. Strong organizational skills and attention to detail.
9. Strong proficiency in Microsoft Excel, including formulas, reporting, and data analysis, required.
10. Ability to maintain confidentiality and comply with FERPA requirements.
