Newman University is seeking a highly organized and service-driven Events Coordinator to lead campus events and external rental functions. The Events Coordinator serves in a project management role regarding all events on the Newman University campus. Ensuring that events, both internal campus event and external rental events, run smoothly through effective organization and communication.  As a member of the Advancement Team, this position also plays a critical role in Advancement events including but not limited to fundraisers, celebrations, and stewardship events. A successful candidate will be highly organized, willing to take initiative, and be able to solve problems in high pressure situations. This is an exciting opportunity for someone who thrives in a fast-paced environment and enjoys creating meaningful experiences for guests, students, faculty, and the broader community. Due to the nature of the job, hours may vary and will require evenings and weekends.

What You'll Do

1. Promote, schedule, contract, and be primary contact for the use of university facilities with outside rental groups.

2. Coordinate with Great Western Catering on food service for rental events

3. Propose updates to all rental policies for university facilities as needed.

4. Approve and schedule the use of university facilities with internal departments and assist with set-up, technology or other duties as needed

5. Ensure that Newman University security and appropriate stakeholders are updated on the university events schedule.

6. Hire, supervise, and train student workers.

7. Lead the Party on the Plaza Event Planning Team which includes both staff and volunteers. Party on the Plaza is Newman University premier fundraising event.

8. Work with members of the Advancement team to plan advancement events according to requirements, target audience and objectives.

9. Source and negotiate with vendors and suppliers.

10. Recruit and coordinate event volunteers, both staff and students.

11. Manage event-day operations, including rental events, addressing event execution issues and resolving any problems that might occur.

12. Keep track of revenue generated via outside rental groups. Receive feedback from rental groups to ensure our facilities and processes are continually improved.

13. Strategize ways to increase revenue from outside rental groups and work with appropriate university staff to execute these strategies.

14. Analyze internal events’ success and prepare reports to present to supervisors and/or university stakeholders.

15. Complete all University required trainings, including FERPA and Title IX.

16. Contribute to the overall success of the Institutional Advancement department by performing all other duties as assigned and appropriate to the position.


What We're Looking For

1. High school diploma; Bachelor’s degree in related field preferred.

2. Flexibility to work nights and weekends when needed.

3. Proven experience as event manager or project manager.

4. Outstanding communication skills – both written and verbal.

5. Ability to lift 25 lbs and stand for long periods of time in a work environment.

6. Knowledge of KPIs and marketing techniques for event management.

7. Computer savvy; proficient in MS Office.

8. Excellent organizational skills and the ability to meet deadlines.

9. A knack for problem-solving.

10. Customer-service orientation and a passion for the attendee experience.

11. A team player with leadership skills.

12. Legally authorized to work in the United States.
